How Ferro's Barbers uses your details
Last updated 28 October 2026
When you book with Ferro's Barbers, they keep a few details about you so they can look after your appointment. This notice explains what they keep, why, and what you can ask them to do with it.
Who is responsible for your details
Ferro's Barbers decides how your booking details are used, so in data protection law it is the controller.
- Address14 Mercer Street, London E1
- Emailhello@ferros.test
- Phone020 7946 0321
Ferro's Barbers uses Barbly for its booking page, reminders and client records. Barbly is run by Jonty Oglesby, a sole trader trading as Barbly, and handles your details only on Ferro's Barbers’ instructions, as its processor. Barbly doesn’t use your details for its own marketing and doesn’t sell them.
What Ferro's Barbers keeps
- Your name, email address and, if you give it, your mobile number.
- Your bookings: the service, barber, date and time, price, what you’ve paid, and whether you came, cancelled or missed it.
- Any note you leave for your barber, and notes the staff keep about your cuts and preferences (for example “#2 on the sides”), plus your preferred barber.
- Whether you’d like “Same again?” emails.
Staff are asked not to record anything about your health unless you’ve agreed to it (for example a scalp condition you want your barber to know about). If you tell them, they’ll only note it with your agreement, and you can ask for it to be removed at any time.
Why, and the law that allows it
| What for | Lawful basis |
|---|---|
| Taking and managing your booking, emailing your confirmation, and telling you about cancellations, changes and refunds | Contract: we need it to give you the appointment you asked for |
| Taking a deposit or prepayment, and applying the shop’s cancellation and no-show policy | Contract |
| A reminder email the day before your appointment | Legitimate interests: it helps you keep the appointment and the shop avoid empty chairs |
| Keeping your visit history and notes so you get the cut you like | Legitimate interests: giving regulars a better service |
| “Same again in a few weeks?” emails after a visit | Legitimate interests, sent under the “soft opt-in” in the Privacy and Electronic Communications Regulations 2003 (reg 22): you’re a customer, they’re about the shop’s own similar services, and you can say no at any time |
| Keeping payment records for tax and accounting | Legal obligation |
Stopping “Same again?” emails. Untick “Email me when I’m due my next cut” when you book, use the unsubscribe link in any of those emails, or ask Ferro's Barbers. Booking confirmations and reminders still come, because they’re about an appointment you’ve made.
Card payments
If Ferro's Barbers takes a deposit or payment online, you pay on a page run by Stripe, straight into Ferro's Barbers’ own Stripe account. Your card details go to Stripe only; neither Ferro's Barbers nor Barbly ever sees them. Stripe is responsible for the payment data it collects (it is an independent controller) and its privacy notice is at stripe.com/gb/privacy.
Who else sees your details
Ferro's Barbers’ staff, and Barbly, which runs the booking system. Barbly uses a few trusted providers to do that: IONOS hosts it on servers in the UK, Resend sends the emails (from its EU region; it is a US company), and Cloudflare runs the domain name system. Each is bound by a contract to protect your details, and any transfer outside the UK uses legal safeguards. The full list is in Barbly’s privacy policy.
Your details are never sold, and they aren’t shared with other shops on Barbly.
How long they’re kept
For as long as Ferro's Barbers uses Barbly, so your history is there when you come back. Ferro's Barbers can delete your record whenever you ask. If Ferro's Barbers closes its Barbly account, everything is deleted 30 days later (60 days if its account lapses), and drops out of Barbly’s backups within 30 days after that. Ferro's Barbers may need to keep payment records for longer for tax reasons.
Your rights
You can ask Ferro's Barbers to:
- give you a copy of the details they hold about you;
- correct anything that’s wrong;
- delete your details (they may keep payment records the law requires);
- restrict how they use them, or object to how they use them, including stopping marketing emails at any time;
- give you your details in a format you can take elsewhere.
Contact Ferro's Barbers at hello@ferros.test. If you can’t reach them, email Barbly at hello@barbly.uk and we’ll pass your request to Ferro's Barbers straight away. You should get an answer within one month.
